Custom customer portal for vehicle and order management
A secure customer portal for a growing SMB, giving more overview of vehicles, orders, users and actions.
The challenge
A growing SMB wanted to give customers and staff more insight into vehicles, orders and ongoing actions.
The existing process leaned too heavily on ad-hoc communication, manual checking and information from external systems. That worked, but became increasingly difficult as the number of customers, users and orders grew.
The main challenges:
- customers should only be able to see their own data;
- staff needed different roles and permissions;
- external data had to be fetched and processed reliably;
- overviews had to stay fast, even with a lot of data;
- actions and status changes had to be auditable;
- the system had to be suitable for daily use, not just a simple portal.
Off-the-shelf software did not fit this well. The workflow was too specific, the external integrations were important, and data isolation had to be handled properly from the ground up.
The approach
I translated the original idea into a working custom customer portal with a clear structure for customers, staff and administrators.
The solution is built with Laravel, Filament, Livewire, queues, scheduler, roles and permissions, notifications and external API integrations. Instead of making every screen directly dependent on external systems, I chose a local projection layer. That keeps dashboards and overviews faster, easier to filter and less vulnerable to delays in external sources.

- detail pages with actions and status information;
- order flow with automatic data completion;
- user management per customer environment;
- location and relationship management;
- activity log and system logging;
- email and push notifications;
- white-labelling per customer environment;
- mobile/PWA access with device pairing;
- background processing for synchronisation and mutations;
- export options for operational data.
During the project, most of the complexity was in the combination of external data, performance, permission structure and reliability. By running processes through background tasks and processing data locally in a smart way, the portal became practically usable for daily work.
The result
The company now has one central environment for customer information, vehicles, orders and actions.
That delivers concretely:
- less manual searching;
- less ad-hoc communication;
- more overview for customers and staff;
- faster access to up-to-date status information;
- better control through logging and notifications;
- safer working through roles, permissions and customer isolation;
- a technical foundation that can keep growing.
The result is not a generic portal, but business software that fits the customer's day-to-day practice.
